About The Team/This Role

The Industry Relations team works together to execute an integrated partnership strategy that grows and enhances opportunities to advance and strengthen tourism's economic impact and raise the Oregon brand's visibility and familiarity. Members of the team support efforts such as our Oregon Governor’s Conference on Tourism, statewide workforce initiatives, education and training programming, and community building with underserved and under-resourced communities. Our work ensures statewide collaborative relationships to promote and maximize the value of Travel Oregon’s work and partnerships across Oregon and throughout the region.

The Industry Relations Coordinator provides programmatic and administrative support to the team with a variety of specialized support that enables efficient industry relations activities, including assisting with the planning and logistics of events and training.

Essential Duties

  • Support industry relations staff with development, planning, and execution of training opportunities, conferences, and other community engagement and educational events. 
  • Track and organize details, communications and partner participation in Excel, Basecamp and other programs, and monitor project activities for compliance with program criteria, relevant laws and policies, and alignment with goals and objectives.
  • Support logistics for industry events by coordinating outreach, executing planning meetings, supporting sponsorship sales, drafting communications, and serving as main contact for attendees and staff pre-and post-event.
  • Compile information, documents, and departmental reports, support tracking and reporting, and draft and review documentation, presentations, and other materials for internal and external audiences to support accurate, efficient operations of industry relations.
  • Monitor industry data and other insights provided by the Strategy, Research, and Analytics team and Brand Stewardship Strategist to support informed industry relations activities.
  • Attend and/or travel to meetings to coordinate details and take meeting notes, as needed.
  • Determine appropriate involvement from other staff on projects, track project status from inception to completion, work independently and with internal teams as well as external agency partners to assist with completion of projects, anticipate roadblocks and problem-solve.
  • Answer and route phones and emails from the public, partners, and stakeholders related to industry relations priorities and outcomes.
  • Coordinate contract management, including tracking contract expiration dates, contract limits, and supporting contract managers with contract development. Support tracking of contractor and vendor deliverables.

Requirements:

  • A Bachelor’s degree in a relevant field OR any combination of education/coursework/training and work experience necessary to meet position requirements.
  • A minimum of two (2) years of experience in a professional business environment supporting business relationships and the planning/execution of meetings, events, training, and/or conferences.
  • High proficiency in Outlook, PowerPoint, Adobe Acrobat, video-conferencing platforms, digital signature software, and project-management software.
  • Ability to prioritize competing priorities and meet multiple overlapping deadlines.
  • Knowledge of project management best practices including managing conflict, and bringing groups to consensus, with skill in managing project tasks and prioritizing deadlines for multiple team members.
  • Skill in editing written communications, documents, and presentations.
  • Experience in or understanding of the tourism and/or hospitality industry is valued.
  • Experience monitoring team budgets and tracking contract budgets 

About Our Work Environment:

This position is designated as hybrid. Business needs may require the employee to come into a designated workplace on a periodic basis.

Compensation & Benefits:

Salary Range: $56,950-$68,350

  • Accrual of 12 days paid vacation plus 3 days personal business leave and 12 days paid sick leave;

  • After six full months of employment, participation in the Public Employees Retirement System (PERS), including generous Travel Oregon contributions with no employee match required; optional participation in a 403(b) account (Oregon Savings Growth Plan) is also available.
